Midsize Pharma Manufacturer, Conga CLM Upgrade and Rollout

Mid-sized pharmaceutical manufacturer focused on iron deficiency therapies wanted to rollout their Conga CLM solution to additional countries and faced challenges with their current solution. The company needed to upgrade the Conga CLM solution while ensuring they adhered to strict GxP and CSV regulations.​
CHALLENGES
The company had the following limitations with their current systems and processes:​
  • Multiple bugs decreasing user adoption and making it difficult to expand the CLM solution to additional countries​
  • Over-complicated architecture, making it difficult to maintain the solution daily​
  • Need for common systems and processes across the multiple countries​
  • Need to migrate data and documents from a legacy system to a new Legal Entity Management (LEM) system on the Salesforce platform​
  • Compliance with Russian data privacy requirements while extending the solution to Russia​
  • Complex validation process to adhere to strict GxP and CSV regulations​
SOLUTION
Marbls provided best practices advisory to the company by:​
  • Assessed latest Conga CLM features and performed the upgrade of the solution​
  • Re-built part of the solution for a leaner system architecture and scalability (reduction of fields, processes with no value, etc.) and updated documentation accordingly​
  • Rolled out the Conga CLM solution to multiple countries, including key items like creating multiple local agreement templates, adapting the approval workflows, and extending the existing OCE interface to further countries​
  • Designed and implemented a new LEM solution to replace the legacy system​
  • Built an interface for Russian e-Signature solution DiaDoc​​
RESULTS
  • Trained the current users on the new Conga CLM features, and trained the respective “super-users” from the new countries​
  • Provided Hypercare services to ensure system stability​
  • Harmonization of the processes across countries within the company​
  • Defined a CLM Global Blueprint Template to maintain the global process while managing key localizations​
  • Migrated ~2,500 historical agreements from the legacy system to Conga CLM, including related records and attachments​
