Med Device, Contract Management Implementation

A top 10 Medical Device company was looking to streamline their contract development process across multiple divisions and centralize their contract repository by implementing Conga’s Contract Lifecycle Management (CLM) software.​
CHALLENGES
  • Customizations: Due to the CLM software being utilized across multiple divisions and the complexity of the contract structures, complex customizations were needed on top of the base product​
  • Volume: There was many users to onboard, each with unique needs, and a high volume of contract templates across divisions​
  • Historical Data: As contract development was previously managed outside of any system, historical and existing contracts from multiple sources needed to be converted and loaded systematically into the new system​
  • New Business Processes: While there were existing teams responsible for contract development in each division, utilizing a system in a harmonized process to develop and manage contracts was new to the company​
SOLUTION
Marbls implemented the Conga CLM system and ensured minimal disruption to the existing business by:​
  • Conducting requirements workshops to understand the contracting needs of each division​
  • Configuring the CLM system to meet business requirements, including developing customizations for functionality not intended in the base product and configuring the integration with DocuSign​
  • Building a consolidated Contract Template and Clause Library​
  • Converting and loading historical and existing contracts to support active/ongoing contracting activities and maintain compliance​
  • Developing Standard Operating Procedures (SOPs) and training business users to ensure readiness of the team​​
RESULTS
  • Successfully went live with the CLM system on time and on budget, transitioning business users to the management of their contracting business processes within the system​
  • Integrated the CLM system with DocuSign to ensure seamless execution of contracts with customers​
  • Consolidated the Contract Templates from over 150+ templates across the divisions to around 50 standardized templates​
  • Successfully converted and loaded around 27k historical and active contracts/price lists into the new system to ensure minimal disruption to existing business​
  • Successfully integrated the Conga Contract Intelligence (CCI) tool, which enabled users to load contracts into the CLM system using Artificial Intelligence technology​
